What is your pricing model?

UrbanCubby is offered as a subscription service with a one-time setup fee. Customers initially pay a fee for installation and module customization, then enjoy a predictable monthly charge that covers software access, remote monitoring, and routine maintenance. This model minimizes large upfront investments while scaling costs based on the number of boxes in use—allowing you to start small and expand as needed. Optional add-ons, such as weighing systems, solar panels, and charging stations, can be integrated for an additional fee. Our modular design delivers cost efficiency and flexibility, making UrbanCubby an adaptable solution for diverse environments.

Do you work with annual maintenance and/or operational costs?

Our monthly subscription fee covers regular maintenance, ensuring that the UrbanCubby system operates seamlessly with minimal downtime. This fee includes software updates, remote troubleshooting, and proactive servicing to keep the lockers fully functional. Any additional operational costs arise primarily from extra interventions—such as adding or removing boxes or repairing damaged units. Our flexible model is designed to help you manage these costs effectively while maintaining long-term system reliability.

Who is responsible for repairs, replacements and long-term servicing?

UrbanCubby covers regular maintenance, replacements, and long-term servicing as part of the subscription. This includes ongoing software support and proactive maintenance to keep the system running smoothly. In cases of malicious damage to the hardware, additional charges will apply. Thanks to our 100% modular design, individual components—such as locker blocks, doors, roofing/leg structures, or weighing mechanisms—can be replaced without the need for a full-unit replacement. Our real-time monitoring system enables early detection of issues, ensuring quick interventions and minimal downtime.

How do users access the equipment?

Users can instantly access equipment by scanning a QR code on-site with their smartphone. (no app download required). This seamless, hassle-free process unlocks the locker immediately. For added flexibility, the system can be configured to allow reservations, ensuring better availability and efficient usage management based on specific needs.

Is your system free-to-use or paid?

Our system is fully flexible and customizable. We supply the hardware and software infrastructure, while the organization operating the lockers can set their own pricing through an intuitive admin dashboard. This means they can choose to offer items in some lockers free-of-charge, while others can be accessed on a paid basis—both models can coexist seamlessly.

Our modular lockers are locally produced in Belgium in collaboration with a social enterprise, ensuring sustainable custom manufacturing while supporting local employment. Built from high-quality, recyclable materials and finished with a robust two-layer powder coating, our solution is designed to withstand outdoor conditions while reducing maintenance and waste. The system’s modular design allows for easy replacement of individual parts, extending its lifespan and promoting a circular economy. With optional solar panel integration for off-grid operations, UrbanCubby reduces energy consumption and unnecessary replacements. Our eco-friendly approach aligns with key UN Sustainable Development Goals—fostering sustainable cities, responsible consumption, reduced inequalities, improved well-being, and technological innovation.

What is the expected lifespan of the equipment, and how is it replaced?

UrbanCubby’s modular lockers are built for durability, with an expected lifespan of over 10 years—though this can vary depending on usage and potential vandalism. Thanks to our modular design, if any component becomes worn or damaged, it can be easily replaced without needing to replace the entire system. This not only minimizes downtime but also extends the overall service life, ensuring a cost-effective, long-term solution.

How does your system prevent theft and vandalism?

UrbanCubby employs a multi-layered security strategy to safeguard equipment. The system utilizes smart locks, real-time monitoring, and modular security features to ensure robust protection. Lockers can only be accessed by authenticated users via a secure web app, which guarantees controlled access. Optional integrated weighing systems in select lockers help verify that items have been fully returned —with an optional picture confirmation on the weight sensor. Operators can monitor lockers remotely and receive alerts for any unusual activity, enabling quick intervention. Municipalities may in the future also enable deposit-based rentals to further discourage misuse and promote responsible equipment handling.

What data-tracking features are available for municipalities?

UrbanCubby provides detailed usage reports and real-time monitoring, enabling municipalities to track locker activity, equipment availability, and user engagement. These insights help optimize resource allocation, detect trends, find the optimal locker setup and plan future investments in public sports infrastructure. Key features include: - Real-time occupancy tracking to see which lockers and items are in use; - Usage analytics that identify peak hours, most-used equipment, user suggestions, and seasonal trends; - Automated alerts to notify operators of missing items or maintenance needs; - Custom reporting that generates data-driven insights for policy decisions. By leveraging this data, municipalities can improve accessibility of items and enhance community engagement in public spaces.
